Configure Webmail Horde 5

After setting up an e-mail address, no settings are preconfigured which means that you can manage all settings yourself. Here is a brief description of the most relevant settings:

Forwarding

If you want your e-mails to be forwarded to another e-mail address, go to Mail Filters Forward. Here you can enter one or more e-mail addresses. We recommend selecting “Keep a copy of messages in this account?” to avoid losing e-mails in case of problems with the forwarding.

Vacation

If you need an automatic out of office notification – a reply that is automatically sent to the sender of an incoming e-mail – open the filter rule list via Mail Filters Vacation. To edit the out of office message, activate the vacation rule and select the beginning and end of the vacation.

Tip: In the text you can use the placeholder %ENDDATE% to avoid that you have to enter the date of return again. Under Advanced Settings enter your e-mail address for which this vacation rule should apply.

IMPORTANT: You might also want to exclude certain people from receiving your automatic replies, e.g. colleagues that regularly forward e-mails to you even though they know that you are not available at the moment.

When setting up the out-of-office message, you will find the option “Number of days between replies” under “Advanced settings”, which is set to 7 days by default. This means that the sender receives the out of office note after the first email, but no further notification is sent for further emails from the same sender in the next 7 days. The interval can be adjusted, but must not be set to 0, as this can lead to unintended behavior.

Note: Mails sent from a gmail account may not receive an out of office notification. We are working on fixing this problem.

Change password

Under “Gear” Password you can change your current password.

The following rules apply:

If “Gear” Preferences Global Preferences Account Password has been configured, you can reset the password at https://webmail.servus.at/horde/services/passwordreset.php.

Have new password sent

To being able to receive a new password in case of loss, you can specify an e-mail address to which the new password should be sent to under “Gear” Preferences Global Preferences Account Password in webmail.servus.at. Please note: The e-mail address to be configured must not be linked to the same account, otherwise the new password will not reach you.

In case you did not specify an e-mail address in advance you need to contact us via office@servus.at so we can set a new password for you.

IMPORTANT: You e-mail account and your servus cloud account are connected: Changing your mail password also changes your cloud password.

Address Books

Both Horde and Roundcube offer the possibility to create your own address books. These can also be imported or exported. Supported formats are vCard, Ldif, csv etc. We do not go into more detail about these settings, because they should be self-explanatory in the respective webmail program.

Tip about address books: It is important to decide on a place where contacts are to be managed. The choice of the tool is perhaps a matter of taste. All webmail options and the servus cloud offer the option to manage contacts.

Communicate encrypted

You can also use encrypted mail in webmail, but you have to keep in mind that in this case your key is stored on a web server and this is of course a potential security risk. Therefore, keep your revoke certificate safe and renew your key often.
Under “Gear” Preferences Mail you will find the PGP options in the General column. Import or generate a key pair and start sending encrypted e-mails.

Overview of functions

The following table describes how to operate various functions. Unless otherwise stated, the instructions refer to the dynamic mode of Horde 5.

VERY IMPORTANT:

  • If all e-mails are selected in the e-mail view, literally all e-mails in this folder are selected and not only those visible on the current page. If all e-mails have been deleted by mistake, a simple e-mail to office@servus.at is sufficient and we will restore your e-mail account.
  • If filters are used to filter out unwanted e-mails, save the e-mails in a temporary folder. Avoid deleting these e-mails immediately, as they cannot be recovered.

Calendar usage with Thunderbird

The URL to the calendar is located in the web interface under Edit Calendar (the pencil next to the name) Subscription.

FAQ

If you still know your current password and want to change it to something else, please go to webmail.servus.at and log in with your current passwort. Under “Gear” Password you can change your password.
In case you lost/forgot your password, please proceed to the following question.
